The Report Viewer allows users to easily refresh current data from their database. The Crystal Report viewer from Business Objects only allows you to open reports with saved data, but this software allows you to dynamically refresh content of your reports with fresh data. The application requires no setup to view reports and refresh current data from your databases.
The Report Viewer view and refresh multiple reports at once with tabbed reporting. When you open more than one report, you will see that each new report gets opened in a new tab. You can also open the same report more than once. This allows you to view the same report with a different selection formula applied to it. All the reports in your report list tab are available from the drop down combo box on this tool bar. That gives you a quick way to open other reports, while viewing one.
The report viewers interface allows quick access to all of your Crystal Reports. Keep your Crystal Reports organized with the Report Viewer for Crystal Reports easy to use interface. Each report will run in a different tab, so you will be able to open and view as many reports as you like, all at the same time.
There are two different interfaces available. Pictured is the tree view, which allows you to create directories and add reports to the directories for quick access. The other interface is a list view. It allows you to view all of your reports by title and sort them by other file attributes. The user can quickly change between the two interfaces.
You can add the reports to the list in two different ways. You can scan a directory for reports and you can add the report files one at a time. You can also clear the list all at once, or remove reports from the list, one at a time. To open a selected report, you can double click on the report you would like to view, choose the View Report button, or choose the View Formula button. You can also use the combo box at the top of the report viewer to select a report you would like to view, while you have another tab open. Their are two buttons next to the combo box. One is to view reports, and the other is to view the formula before opening the report.
You may edit selection formulas and apply them to your reports. The formula editor interface will load all the available report fields from your database, making the formulas easy to write and edit. The selection formula that is embedded in the report will be loaded. You may use it or modify it. The selection criteria is then applied to your report before it is displayed. A useful example would be setting the sales person number equal to the sales person you would like to run the report for, while running your sales report. This makes your report viewing task easier and more dynamic.
Once a report is opened, you will see a command button that will allow you to display the SQL commands that are embedded in, and used by, the report to fetch the data. At this time, you can not modify the sql through the report viewer.
The report must use a relational database with standard language queries for this to work. Otherwise, the SQL form will display a message saying something like the data source can not be found. For an example, this happens when using a report with an XML data source.
You may not be able to run the SQL that is displayed in this form without modification. If your report uses parameters, the show SQL form will display the parameters variables in the form. You will have to edit these by hand. For instance, the show SQL form may display a clause that says WHERE sales.data == {?date}. You would want to replace the {?date} parameter with a specific date that is in valid format for your database, before you are able to run it without error against your database.
If you database requires secure access, you will easily be able to log in with this report viewer. The Crystal Reports Viewer by ReportViewer.biz allows you to use the data source that is saved in your reports, if you choose. In most cases, no setup is required to use the connection settings embedded in the report. However, you may also easily override that setting, with a username, password or passphrase, server, database, and checking if SSL is required.
You may use the settings that are embedded in the report, by checking the box that says "use report settings." This allows you to connect to other data sources than ODBC. For instance, some reports may have XML or Oracle data bases, which they draw information from. Other reports may connect to multiple sources at once. In these cases, set the report viewer to use the setting specified and embedded in the report.
You may also choose the ODBC connection you would like to use as a data source for the report.
When you create a connection, you have to specify a nickname for the connection. This allows you to easily change between connections. The report will use the connection embedded in the report if "use report settings" is checked. If it is not checked, it will use the connection specifed by the nickname. When you change between nicknames, you will see the details of that connection below the "scan for system odbc sources" command button.
When you click the "scan for system odbc sources" command button, the software will search for odbc data sources that are configured in your system, and configure them for you.
The Crystal Reports viewer allows you to export your reports to many different formats. This gives you the ability to save a Crystal Reports with updated data, convert it to an spreadsheet with or without formatting, save it to a web server for live access, and more.
If you click the button on the tool bar that looks like a floppy disk, you will be able to export your reports to many different formats. You can save the report as a Crystal Report document with the updated data. That would give the file the rpt extension. You may export the report to an Excel Spreadsheet, with or without the formatting, which has the XLS extension. You may export the report to a Portable Document File, which has the PDF extension. You can export to a Rich Text document with the doc extension, which can be used in your favorite word processor.
